Here is how Xalec AI handles information across the website, company conversations, and typical product use. Specific deployments may still have their own contracts, hosting rules, or institutional requirements.

1. What we collect

  • Contact details such as your name, email, organization, and message when you reach out to us.
  • Basic website data such as standard server or analytics information when that monitoring is enabled.
  • Uploaded files and outputs when a Xalec product is running in an environment set up to accept data and save results.

2. How we use it

  • To respond to questions, demo requests, partnership discussions, and support needs.
  • To run, improve, and troubleshoot the website, docs, and product workflows.
  • To keep systems secure, investigate misuse, and support reliable product operation.

3. How long we keep it

We try to keep information only as long as it is needed for communication, operations, security, and agreed service delivery. For product deployments, retention can vary depending on the environment, customer requirements, and hosting model.

4. When information is shared

We do not treat inquiry data or uploaded data as a marketing asset. Information may pass through infrastructure, analytics, storage, or AI-service providers when needed to run the website or deliver product functionality. Customer-managed or institution-managed deployments may have additional rules of their own.

5. Security

We try to design products and workflows with reproducibility, traceability, and operational discipline in mind. That can include encrypted transport, controlled access, artifact handling, audit-oriented logs, dependency maintenance, and recovery practices where they make sense.

6. Data Processing Agreement

Where you upload personal data to a Xalec AI product as a data controller, a Data Processing Agreement (“DPA”) governs how we process that data on your behalf. This is particularly relevant for epidemiological, clinical, or survey datasets containing personal data subject to the Kenya Data Protection Act 2019 or GDPR.
